Securely storing and sharing information

Storing information in the right places and sharing it safely are important parts of working safely. This reduces the risk of data breaches and ensures that your work can be taken over by a colleague when you are on holiday or if you are absent for a longer period of time.

Storing and sharing files

  • To easily and securely store, sync and share files within the organization, use OneDrive, Sharepoint Online, Teams or SURFdrive.
  • To share large confidential files with third parties, use SURFfilesender
  • The Research Support Portal provides an overview of recommended storage facilities for research data.
  • Always use your Tilburg University account for work related information. Private accounts on Google Drive and OneDrive, for example, are not allowed
  • We advise you not to share files containing personal data via Dropbox, WeTransfer, and Google Drive. We have not entered into a processing agreement with these parties because they do not comply with the GDPR.
  • Preferably do not use a USB flash drive for storing your files. A USB flash drive can easily be lost or stolen.

Data encryption

The devices of Tilburg University are equipped with Bitlocker by default. With Bitlocker, the data on the hard disk is encrypted, so they cannot be read by unauthorized persons (such as cyber criminals) in case you lose your laptop or it is stolen. 

In addition to encrypting your storage disk/device, it is also recommended to separately encrypt files containing sensitive data. This is done with 7-Zip. More information on 7-Zip can be found on the Self Service Portal.
