EndNote for students

EndNote is a program for reference- and citation management and helps you to collect and manage references and literature during your research and subsequently use them in your personal publications.

Tilburg University supports students and staff members on using EndNote as reference manager for setting up, managing and using a personal database with bibliographical data. This enables you to easily add and manage publication data. The integration of EndNote with Word enables you to add literature references and lists in your text while writing. For its layout you can choose more than 500 styles. References can be added and deleted later on without any problem. The layout of your bibliography can be adjusted later as well.

Installing EndNote

On campus

EndNote is installed as a standard on student desktops. On computers for staff you possibly have to install it. You can do it yourself via the Software Center.

At home or on your laptop

After installation

After installation you find EndNote under Office (Start/All Programs/Office/EndNote) or a similar location, depending on your operating system. An EndNote tab is added to the Word ribbon during the installation. Via that tab you have access to all EndNote functions you can use in Word.

NB: For optimal EndNote use we advise the desktop version. You can also choose to use an online version. This version is freely available for everyone, but more limited in functionality.

Connection files / Online Searches

The use of so-called connection files for online searches is not supported. In most cases you need a subscription and account data which we cannot provide.

EndNote for lawyers

As a standard EndNote offers less support for legal publications than for instance for publications for the social sciences. A separate page on legal researchers explains how you can make the most from EndNote. Please note that the information is only available in Dutch.

Importing references and the use of filters

Merging chapters with personal citations and bibliographies

View the video Combining chapters containing EndNote citations for a brief explanation, or work according to the steps below.

While writing you may work with separate documents, each with an own bibliography. To merge these documents into one document with one bibliography you proceed as follows:

1.  Copy your documents and work with this copy (This is not strictly necessary, but it is wise. When merging fails, you can still fall back on your original documents.)

2.  Remove the EndNote citation codes

  • Open the first document in Word
  • Use Convert Citations and Bibliography - Convert to Unformatted Citations to remove the code. Instead of citations you now see code such as {Jansen, 1980 #9}. The bibliography is no longer visible.
  • Save the document.
  • Repeat this for all documents you want to merge.

3.  Merge the documents in Word

  • Open the first document in Word and subsequently use Insert - Object - Text from File to open the second document. The text is now added.
  • Repeat this for all documents you want to add.

4. Save the document in which all chapters are merged now.

5. Open the proper library in EndNote

6. Use Update Citations and Bibliography to reactivate all citations and the bibliography in the text again.

7. Save the document.

Mind: once you have merged the file, it is wise just to work in the new file. Of course your old, separate chapters are not updated automatically.

Synchronise a library between multiple computers (and EndNote Online)

Synchronising a library is an easy to way to have access to your library on multiple computers, without moving your library around. There is no need to copy your library to a USB drive, email or server. When you synchronise, your local library is compared to a stored online copy and both are updated so they match. Any records you added since the previous sync will be copied to the other library, and any records that have been deleted, will be deleted in both libraries.

Sync a library

  1. Set up your account info in Preferences (Edit - Preferences - Sync) on each computer that you wish to sync
  2. Sync your library to EndNote Online/Web (Tools - Sync)

You can do this on any computer you own. Each time you run sync, your desktop version of EndNote will sync to/from the library on EndNote Online.

Beware: this is a full sync. The most recent change will overrule all previous changes. If you delete all your records in one library by accident, it will delete everything in the copy as well. Make frequent backups using the File - Compressed Library option.

Good to know

  • Sync works with only one library and only one EndNote online account.
  • Your sync library can be shared with up to 100 other EndNote users on version X7.2 or later  (see "share a library with other people")
  • Syncing with EndNote online includes groups, group sets, and group associations but does not include smart groups and combination groups. These will be added in a later release.
  • You have to set up sync on every computer that you wish to use for sync, as EndNote settings are stored locally.
Share a library with other people

You can share an entire EndNote library with up to 100 people using the EndNote desktop share function. This is a full share of all references, attachments, notes etc. via desktop using version X7 or X8.

  1. Go to File - Share
  2. Enter email addresses and optional text for invitation message

Good to know

  • Library can be shared with 100 users
  • Users have full access to your shared library, which means they can add and delete. Make frequent back ups, e.g. by using the File - Compressed Library option
  • Email address does not have to match recipient's EndNote account email. The recipient can opt to create an account using a different address.

Check share status

  1. Go to File - Share
  2. Check the status column in the list of people to see who you are sharing with, with shares are pending, etc.

Access a library shared by someone else

  1. Accept the invitation from the library owner, using your account info (when you accept the invitation, you select which account to use.)
  2. Select Tools - Sync in EndNote X7 or X8
  3. Once connected, select File - Open Shared Library

Share via EndNote Online

It is also possible to share via EndNote Online - Organize - Manage My Groups

Advantages

  • Can be used to share single groups
  • Can be used to share read only or read/write

Disadvantage

  • Does not share attachments
