Privacy statement Sports Center

The Sports Center offers sport facilities to students, alumni and employees of Tilburg University. We need data to complete a sports membership. On this page you can read how we handle this data.

Foundation and purpose of data processing

When subscribing to the Sports Center, we process personal data for the following purposes:

  • To make use of your membership of the Sports Center;
  • To be able to make reservations for sports courses, lessons and accommodations;
  • To be able to communicate with you by sending digital news;
  • To be able to give you access to our sports accommodations.

Based upon your approval, we process personal data for the following purposes:

  • To be able to give you access to our sports accommodations;
  • To be able to have you use the lockers;
  • To be able to lend you sport utilities.

Type of data

For the registration of your membership the Sports Center processes the following personal data: name email address and the bank account number if direct debit is chosen. If you wish to continue playing sports as an alumnus, the Sports Center will register your graduation date.  We also process data regarding your visits, reservations for courses, lessons and accommodations.

The Sports Center stores your personal data no longer then absolutely necessary for the purpose of the processing. After termination of your membership we allow our members to continue their membership within one year after termination. It is for this reason that we keep your personal data up to one year after your termination of your subscription.

Use of lockers

For the lockers you can use a pincode or a fingerscan. You need to have your finger scanned at the front office.

Security

The Sports Center uses secure IT systems.

For the finger print, the Sports Center uses an algorithm that cannot be translated back to the actual finger print, in contradiction to systems that are used by the government. The scanner transforms your finger print into a code sequence and the image is deleted immediately. The code sequence is secured by encryption and cannot be reproduced into your actual finger print. 

A back-up of the data in our IT systems is created on a daily basis to be able to restore the data in case of a data leak. The daily back-up is stored for 30 days at most.

Data distribution

In addition to the processing by the contracted processor, we will not pass on the data provided by you to third parties, unless this is required by law.

People's rights

Data subjects have a number of rights with regard to their personal data: they have the right to access, rectification, restriction, erasure, data portability to a third party, object to the processing operations, and lodge a complaint with the Data Protection Officer and/or the Authority for Personal Data.
